HPE, Dell and Lenovo server maintenance

Hardware maintenance contracts for HPE, Dell and Lenovo servers, even out of warranty or past the manufacturer’s end of support: on-site technicians across Italy, spare parts included and response times written into the contract.

The service in detail

Manufacturer renewals keep getting more expensive

When the warranty ends, the manufacturer offers to renew support: HPE with Care Packs, Dell with ProSupport, Lenovo with Premier Support. Year after year the price goes up, and the older the server, the more the renewal costs. Then one day the model is declared end of support and the renewal is no longer on sale: the only offer left is to buy a new server.

Yet that server often works perfectly well. It runs your ERP, your files and your virtual machines; a disk or a power supply can be replaced, a board can be swapped. Replacing it just because a contract has expired means paying for new hardware, the migration and the downtime, without your business gaining anything.

The same coverage, without depending on the manufacturer’s price list

With VAY hardware maintenance your server stays covered after the warranty, and even when the manufacturer no longer supports it. We work with a leading national partner connected to us, specialised for over thirty years in post-warranty maintenance of mission-critical systems: certified technicians throughout Italy, a large spare-parts warehouse and ISO 9001, ISO/IEC 20000-1 and ISO/IEC 27001 certifications.

In practice it works like a manufacturer contract: something breaks, you call us or open a ticket on supporto.vay.it and a technician arrives with the right part within the time you chose. Two things change. The cost, which is usually considerably lower than the official renewal. And your point of contact, which remains VAY: the same team that already knows your systems and what runs on that server.

What it includes

  • unlimited calls for hardware faults for the whole term of the contract;
  • fault diagnosis, first remotely and then on site, with the technician arriving with the parts already needed;
  • spare parts, including the backup batteries of servers and storage;
  • labour, travel and expenses: the technician’s visit is not charged separately;
  • the firmware and microcode needed to get the hardware working again;
  • phone support for the basic operating system embedded in the device.

Servers, storage and network, even from different brands

We cover HPE ProLiant, Dell PowerEdge and Lenovo ThinkSystem servers and, on request, storage and network devices. Under a single contract you can put machines of different makes and ages, choosing for each one the service level it really needs: the ERP server with a 4-hour response, the test server with the third business day. And the coverage lasts as long as you need it, for example until a replacement that is already planned.

At end of support, your server can keep working

When a manufacturer declares a model end of support (End of Service Life, EOSL), it stops selling renewals and releasing updates. The machine, however, keeps working and spare parts are still available. With our maintenance it stays covered against faults for years to come, and you decide when to replace it: when it suits your business, not when the price list says so. We keep the operating system and software up to date with our systems management.

It is also a more sustainable choice: extending the life of hardware means less electronic waste and fewer emissions from building new machines.

What it does not include

The contract covers hardware faults. It does not cover damage from external causes (fire, flooding, lightning, power surges or outages, theft, impacts, misuse or tampering), viruses and ransomware, or consumables such as UPS batteries. Data recovery and reinstalling operating systems and software are also excluded: we take care of those with our flat-fee support and backup, so the server does not just switch back on: it gets back to work.

How it starts

  1. Inventory. You give us the list of devices with model and serial number. If you prefer, we carry out the assessment of your installed base, on quotation, and hand you the complete picture in an Excel file.
  2. Proposal. For each machine we suggest the right service level. If you already have the manufacturer’s renewal quote, we put the two costs side by side.
  3. Activation. Within 10 business days of the order, with the devices working at the time of activation.

The more precise the description of the devices (components, configuration, serial numbers, firmware version), the faster the intervention, because the technician arrives with the exact part. For contracts with guaranteed restoration this information is essential.

HPE, ProLiant, Dell, PowerEdge, Lenovo and ThinkSystem are trademarks of their respective owners, mentioned only to identify the devices covered. The service is independent of the manufacturers.

Response and restoration are not the same thing. Response is when the technician starts working on the fault, on site or remotely. Restoration is when the hardware is working again: it has a guaranteed time only in the “Guaranteed restoration 24×7” level.

At every level the technician comes on site after a remote diagnosis and with the spare parts ready. If the fault is blocking and prevents remote diagnosis, it is done on site, within the contract times.

Frequently asked questions

Clear contracts

Clear contracts. And insured.

We turn the usual rules of IT support contracts upside down: what you pay is written down, and our work is covered by an insurance policy.

Truly flat

No packages of hours that run down with every call, no “flat” contracts with call-out fees, travel or extras in the small print. A fixed monthly fee per machine, with support and remote support included.

Insured for professional liability and cyber risk

If an error of ours causes you damage, including in the form of a cyber incident, our Chubb professional liability policy responds. And the cyber section protects our systems and the data we process for you. Overall limit of €2 million a year.

Everything in writing

What is included is in the contract, not in the footnotes. The insurance certificate is available on request, also for the supplier checks required by NIS2 and by large companies.
